Workspace Team

Invite technicians to your organization, assign roles, and manage team membership from one place.

Introduction

The Team page is where you add technicians to your Level organization, assign their roles, and keep tabs on who's joined and who still has a pending invite. If someone can't access Level, or you need to change what they can do, this is the first place to check.


Viewing Your Team

Navigate to Workspace โ†’ Team. The page opens to the Members tab by default.

Each row shows the technician's name, email address, role, and two-factor authentication (2FA) status. The 2FA column tells you at a glance whether a technician has activated 2FA on their account โ€” useful for security audits.

Inviting Technicians

1. Click + Add team member in the top-right corner.

2. Enter an email address in the Email field.

3. Press Tab or type a comma to confirm the address and add another. Repeat for each person.

4. Select a role from the Role dropdown.

5. Click Add team members.

Level sends invite emails to all listed addresses. Until each person accepts, they'll appear on the Pending tab.

โš ๏ธ WARNING: Invites expire after 24 hours. If a technician misses the window, remove the pending entry from the Pending tab and re-invite them.


Roles

Every technician gets assigned a role when you invite them. The only built-in default role is Tech. Beyond that, roles are fully custom โ€” your organization defines them with whatever names and permission combinations you need.

You can change a technician's role at any time from the Members tab without re-inviting them. Open the Role dropdown on their row and select the new role. The change takes effect immediately.

Switch to the Pending tab to see invites that haven't been accepted yet.

If a technician hasn't received their invite or the 24-hour window has passed, remove the pending entry and re-invite them.


Suspending or Modifying a Team Member

Click the three-dot menu (โ‹ฎ) at the end of a technician's row to access two actions:

- Suspend user โ€” permanently removes the technician from your team. They lose access immediately and won't appear in the Members list.

- Disable 2FA โ€” resets the technician's two-factor authentication. Use this if they're locked out after losing access to their authenticator app.

โš ๏ธ WARNING: Suspending a technician is permanent and takes effect immediately. There's no way to recover the account or view suspended users after the fact. If you need the same person back on the team later, you'll need to reach out to support.

๐Ÿ’ก TIP: Need to lock someone out temporarily without losing their account? Level doesn't have a soft-suspend option โ€” suspending is permanent. If you want to restrict access without removing the technician, consider adjusting their group-level permissions in Workspace โ†’ Permissions instead.


FAQ

  • Who can invite or remove team members? Only technicians with an Administrator role can invite new members, change roles, or suspend existing members. Other roles can view the team list but can't make changes.

  • I sent an invite but my technician says they never got the email. What do I check? First, confirm the email address on the Pending tab is correct. If it is, ask them to check their spam folder. Invites expire after 24 hours, so if the window has passed, remove the pending entry and re-invite them.

  • Can I change someone's role without removing and re-inviting them? Yes. Open the Role dropdown on their row in the Members tab and select the new role. The change takes effect immediately.

  • A technician left the company. How do I remove their access? Click the three-dot menu (โ‹ฎ) on their row and select Suspend user. Confirm in the modal that appears. Their access is revoked immediately and they're removed from the Members list. If they had a pending invite they never accepted, remove it from the Pending tab the same way.

  • What does the 2FA status "Inactive" mean? The technician hasn't set up two-factor authentication on their personal account. This is informational only from this page. To enforce 2FA organization-wide, see Settings โ†’ Security.

  • Can I invite multiple people at once? Yes. In the Add team members modal, type an email address then press Tab or add a comma to tag it and move to the next field. All addresses in one submission get the same role, so send separate invites if you need different roles per person.
